The ZOA Privacy bot for Teams can only be used in combination with an active ZOA account.
ZOA Privacy Bot for Microsoft Teams is a data privacy assistant for all your employees. It gives your frontline staff access to data protection-related information and gets your privacy-related questions and reports to the right place. The ZOA Privacy Bot enables your team to integrate data protection in daily business processes and frees up resources with your compliance team through structured reporting workflows, self-assessments, and ease of access to information.
The ZOA Privacy Box for Teams consists of two main elements. The privacy knowledge base tab brings together frequently asked questions about data protection, relevant documents, internal guidelines, and news updates in a central place for ease of use. The ZOA bot guides the user through a conversational-style workflow for reporting among others data breaches or new business processes. The self-assessments for determining the data processing role (i.e. controller, processor, or joint-controller) are helpful tools.
Installation
The ZOA Privacy Bot for Teams is available in the Microsoft App Store / AppSource (Link). The most convenient way to install the ZOA Privacy Bot is through the Teams App.
- Select "Apps" in the menu on the left hand side in the lower section.
- Search for "ZOA Privacy Bot"
- Click on "Add"
Depending on the IT policies of your organisation, the ZOA Bot will be available immediately or only after an approval by your MS Teams administrator. Alternatively, the ZOA Bot can also be installed by your IT for all employees.
Authentication
Authentication is managed through the domain of the user (e.g. @yourcompany.com). Only users with a company email-address can have access to the ZOA Privacy Bot for Teams. Reach out to the ZOA Team (contact@zoa-gdpr.com) to setup the list of approved domains for your account.
Chat bot
The ZOA bot guides the user through a conversational-style workflow for reporting among others data breaches or new business processes. The self-assessments for determining the data processing role (i.e. controller, processor, or joint-controller) are helpful tools. The available bot features depend on your organisation as also organisation specific features are possible.
